Step-by-Step

🚩 This is a platform Administrator guide and you require admin access to the platform - If you are an employee navigate to the Open Door: Employee Guide.

Setting up the board

Step 1 — Enable the Suggestion Board
  1. Go to Account Settings
  2. Navigate to the Open Door section
  3. Toggle on Employee Homepage Board
Step 2 — Customise your board title (optional)

You can rename the board anything you like — for example, "You Said, We Did". If left blank, it will display the default title.

Step 3 — Select eligible categories

Choose which Open Door categories can be made public. Only submissions from enabled categories will be eligible for the feed.

🚩 We recommend excluding any categories used to collect sensitive feedback, such as Wellbeing. Category eligibility cannot be overridden on individual submissions.

Approving a submission

💡 Before you can make a submission public, the employee must have opted in at the point of submission. You can identify eligible submissions by the eye icon on each comment card in the Open Door Dashboard.

Eye icon

Meaning

White eye (with line through it)

Employee has opted in — submission is available to make public

Grey eye

Employee did not opt in — this submission cannot be made public

To approve an eligible submission:

  1. Go to the Open Door Dashboard
  2. Find the submission you'd like to share
  3. Click the white eye icon — it will turn green to confirm the submission is now live on the feed

✅ The submission will appear immediately on the Employee Homepage feed once approved

.Posting a public update

You can add a short public response to any live submission — for example, to share progress on an idea, answer a common question, or confirm something has been actioned.

  1. In the Open Door Dashboard, find the submission
  2. Click the menu on the comment card
  3. Select Post Short Update
  4. Write your update and confirm

✅ The update will appear publicly alongside the submission on the Employee Homepage feed.

Post Short Update vs Messenger:

The Messenger icon on a comment card sends a private, anonymous message to the individual employee - it does not appear on the public feed. Use Post Short Update when you want everyone to see your response, and Messenger when you want to follow up with the employee directly.

Removing a submission from the feed

To remove a submission at any time:

  1. Go to the Open Door Dashboard
  2. Find the submission
  3. Click the green eye icon — it will revert to white and the submission will be immediately removed from the feed

Tracking upvotes

Upvote counts are shown next to each submission in the Open Door Dashboard. Use these to identify which ideas or issues have the broadest support across your organisation.


 

Troubleshooting Common Errors

If something goes wrong, here are the most common issues and how to fix them.

Issue Likely cause Fix
Submission not appearing on the feed after approval Employee did not opt in at point of submission Check the eye icon — only white-eye submissions can be made public
Eye icon is grey and cannot be clicked Employee opted out at submission This cannot be overridden — the submission is not eligible for the feed
Category not available to enable for the feed Category hasn't been added to the eligible list in settings Go to Account Settings > Open Door and enable the relevant category
Board not visible on the Employee Homepage Suggestion Board hasn't been toggled on Go to Account Settings > Open Door and toggle on Employee Homepage Board
Submission from a sensitive category appearing as eligible Category was not excluded during setup Disable the category in Account Settings > Open Door — note this applies to future submissions
Post Short Update not visible on the feed Update may not have been confirmed Repeat the steps: find the submission, select Post Short Update, write and confirm
Board title showing as default Title field was left blank during setup Go to Account Settings > Open Door and enter your preferred board title
