🚪 Access & Permissions

Q: How does platform access work?

A: Here is a quick breakdown of the three primary roles and how users interact with your Hive Platform:

  • Admins: Full access to build/manage surveys, manage users and oversee platform configuration.
  • Managers: Access is set up by the Hive admin to view reporting & insights specifically for their own demographics (teams/departments etc)
  • Employees: No login required. They participate in surveys, Hive Fives, and Open Door via secure Magic Links or the Employee Homepage.

Q: How do I log in to Hive?

A: Log in to your organisation's Hive via desktop or mobile using your username (email or mobile number) and password.

Q: How do I log in to Hive for the first time?

A: When your platform is set up you will be sent an email to set up your username and password. Once this is set up you can log in to your organisation's Hive via desktop or mobile using your username (email or mobile number) and password.

Q: I can’t access my account.

A: If you have Admin access and are having trouble accessing the platform:

  • Try the “Forgot Password” option.
  • Contact Hive Support, and they can send you an email to reset your password.

Q: What kinds of access can I give to managers?
A: Managers can be given access to features like survey results, comments, Hive Fives, Open Door, and Messenger. You can also tailor their access through segment groups so they only see data relevant to the teams or locations they oversee.

Q: How do I grant access to other admins or managers?
A: As an admin you can assign platform access to users by navigating to User Settings →  Find User → Clicknext to the user's name → Edit User → Access Tab. Here, you can select the features and demographics they should see. Permissions are granular - you can give access only to specific capabilities (Surveys, Hive Fives, Open Door) without giving full admin rights.

When setting up access it is important to consider how the demographics are set up. For more information you can visit our Platform Access page.

Q: How do I remove access from a user?
A: Go to User Settings → Find User → Clicknext to the user → Edit User  → Access tab, uncheck the relevant permissions, and click Save and Close. The user will immediately lose access to those features.

Q: Are employee responses still confidential if managers have access?
A: Yes. All employee responses remain confidential even when managers have platform access.

Q: How do I support managers using Hive?
A: Make sure managers have the right access to their team data and insights. Provide guidance on interpreting results, using heatmaps, and acting on feedback. Tailored manager dashboards and segment access help them focus on their teams.

Q: How can managers see feedback for their teams only?
A: By assigning appropriate segment groups when granting access, managers only see feedback (surveys, Hive Fives, Open Door submissions) for the groups relevant to their responsibility.

Q: What support is available if I’m unsure how to use a feature?
A: Hive offers extensive support via its Knowledge Base, plus direct support options and Account Managers who can help with setup, strategy, and troubleshooting.

Q: Can I upload my organisations logo onto our platform?

A: Yes. You can do this in the platform Navigate to Settings  Account Settings → Details → Logo / Branding.

✅ Assign only what’s needed
Give managers access only to the features and segments they need.

✅ Use segments strategically
Rather than giving managers access to all data, assign specific segment groups (like team, geography, or function). This keeps results relevant and secure.

✅ Check surveys before launch
Before deploying a survey, verify that all intended managers have the correct access so they can view results later.

✅ Review access periodically
Organisations change - make it part of your admin routine to audit access settings and segment assignments quarterly or after reorganisations.
